The Southwest Florida Chapter New Year’s resolution is to encourage chapter members to invest in their professional development and participate in the many great programs, networking opportunities, and accreditation preparation courses that we offer.

The start of a New Year is a wonderful opportunity to re-energize and refocus our goals. Our Chapter has take inspiration from the 2012 Olympic Games and encourages our members to set a “Winning Tradition” through participation in the local Image Awards competition. At our January luncheon, Karen Ryan, APR, CPRC shared tips on how to craft a winning PR Playbook and on January 24 we will host a FREE Image Preparation Workshop. But our work doesn’t stop here! To keep in line with our resolution, the Chapter has started a Passport to FPRA program to engage new and potential members in Chapter activities. And for both new and existing members, we are once again offering APR study sessions. An informational session will be held on Thursday, Jan. 19 in the offices of Pushing the Envelope, 12655 New Brittany Blvd., Suite 13W in Fort Myers. Anyone interested in learning more about the APR process should attend the meeting.

As the 2012 Olympic Games approach, it’s time to warm up and submit your medal worthy public relations programs for the Local Image Awards. On Tuesday, January 24 from 9:30 to 11 a.m. at the Broadway Palm Dinner Theatre, a panel of distinguished PR professionals are offering an Image Workshop to help you get started. The panel of Image coaches includes Kate Gooderham, APR, CPRC, Victoria Moreland, Pam Nulman, APR, CPRC and Samantha Scott, APR. Each expert will provide insight about the do’s and don’ts of program entries, judging categories and scoring, the all-important two-page summary and binder composition.

Attendance at the Image Workshop is FREE, and for more individualized feedback, you are encouraged to bring campaign plans, printed materials, news releases, or other communication tools. Start a Winning Tradition in 2012! Local Image Call for Entries Now Available

Calling all public relations and marketing professionals in the area – now is the time to submit your finest work. The Southwest Florida Chapter of the Florida Public Relations Association (FPRA) has issued a Call for Entries for its 2012 Local Image Awards.

Local Image Awards are held annually and recognize the best public relations, communications and marketing efforts in Southwest Florida during the past year.

Submissions for awards must be presented in a detailed and specific format, as directed by the Call for Entries. The contest is open to FPRA members and non-members as well as students. Please review the Call for Entries for the 2012 Local Image Awards as it contains all the information you need for an Image entry including judging criteria, awards presented, rules for entry, deadlines and where submissions need to be sent, descriptions of each of the divisions and categories, entry fees, the official entry form and an entry checklist.

Whether you are new to the process or a seasoned Image participant, use the Call for Entries as your step-by-step guide to staying on track. A new project is kind of like your very own PR science experiment – you have a hypothesis or great idea, develop a plan, consider and address the variables, observe and collect data, create back-up materials, formulate the project results and come up with a final conclusion.

One very helpful hint is to ask someone who is not invested in the project to review your entry. A colleague, with a fresh perspective and eyes, may notice something that needs to be corrected or clarified.

February Luncheon: Exploring the Future of Newspaper

Pason Gaddis, president and group publisher of Florida Weekly, will join our Chapter on Feb. 7 to share insights on the future of media and newspapers in what he views will be a fundamental change in the content that goes into print, new subscription models and the explosion of tablet devices.

Pason Gaddis co-founded Florida Weekly with his partners Jeffery Cull and James Dickerson in 2007. The newspaper is one of the states largest circulation newsweeklies with more than 75,000 circulation in Lee, Collier, Charlotte and North Palm Beach Counties reaching more than 150,000 readers in print and online each week.

A New Year, a new social network! This month's Social Media Corner covers LinkedIn - the most business-focused social network of them all.

Started in 2002, LinkedIn has been around for quite some time. According to their site, "As of November 3, 2011, LinkedIn operates the world’s largest professional network on the Internet with more than 135 million members in over 200 countries and territories." Sounds like something you should be a part of, right?

Even The New York Times recognizes it as a "specialized networking site". What started as a virtual resume, LinkedIn has grown into a source for building connections through degrees of reach. I know you, you know Joe, Joe knows Sally so I can connect to her. But wait - there's more.

LinkedIn encourages you to complete your profile with your work history, education and other background details, but you can also request "Recommendations" from former/current colleagues, join groups to comment or create discussion topics and create company pages. Recently, they've also made it possible for you to post updates on company pages, making them far more useful. Another new addition is "Skills". You can now select from a vast list the skills you have, for example: Public Relations, Strategic Communications Council, Social Media Marketing or nearly anything else that would apply.

The last neat tool we'll cover is the ability to add apps to your profile. Consider them enhancements. These can connect your other social networks, such as "Tweets," display recent work - "SlideShare," show which events you're going to, where you're traveling to - "TripIt," or even auto share your blog posts with the Wordpress app.

Overall, LinkedIn is a very valuable social media channel if you are looking to connect with other professionals and expand your network. There are many success stories of people connecting and making new business deals. Moreover, it's just a good way to represent yourself and your business in a digital professional atmosphere.

Image: Begin at the Beginning

More often than not, Image entries often lose points or are disqualified for not following the entry criteria. The very last thing you want is to have an award-worthy project fail to win or, even worse, be disqualified all together, because you did not follow the directions.

Image guidelines are very specific. There are guidelines for what should be included and how things need to be formatted, and those guidelines should not be ignored. Since projects are different, there must be a uniform approach to presenting an entry so that judging can be fair and impartial. And remember, PR professionals are sticklers for details and they are the ones who judge your entries.

Put most of your effort into the two-page summary. Seventy percent of the scoring is based on the summary of your project that sets out the reason and need for development of the public relations program or tool, how it was implemented and the results. Make sure you address five elements - Research, Objectives, Implementation, Evaluation and Budget. And it should be clear, concise and factual – not just creative.

The judges then review support materials for professionalism, innovation and design to score the remaining 30 percent of the entry. Please think about what you can include to help the judges understand or appreciate your project. Don’t lose valuable points by failing to include support materials that detail what you have presented in the summary.

And last, but not least, please, please proofread your final summary. Check, not only grammar and punctuation, but general typos that could cost you an Image award.

The December Merry Mixer was a great success! We mixed and mingled to several jingling beats as Riversedge Photography caught these memorable moments on film. Social Media Corner: Twitter

Moving on to a new network, this month's Social Media Corner features Twitter. Many are intimidated by this social networking platform, but it's really just micro-blogging. Here's a few facts, resources and tips to use it effectively.

Twitter is one of the top tier social networks active right now. Even if you don't fully understand it or use it, you've probably heard of it or seen the twitter icon (lower cased blue "t" or little blue bird). Self described as "an information network," the company states "Twitter is a real-time information network that connects you to the latest information about what you find interesting."

With roughly 175 million registered users, it's no small potato. People that use the site can create an account, load a profile picture and custom background and engage with users around the world. Unlike Facebook, connections aren't mutual. If I, for example, start to "follow" someone, they don't automatically follow me back. They have to choose to do so. Likewise, I don't have to follow everyone connected to me.

It's a highly organized social network, allowing people to create lists and follow people that way and there are many directories in place (via third party sites) to help users connect with others based on similar interests. Searching the main Twitter feed for keywords or phrases of interest, including hashtags, is also a good way to find new connections.

The only limitation it has, which sets it apart from other social sites, is the length and style of posts - commonly referred to as "tweets." Users can only share 140 characters in each post. That includes letters, numbers and spaces. Enter abbreviations, shortened links and other creative ways to briefly get the point across.

Overall, Twitter is a good tool for businesses to listen to consumers (complaints, compliments, needs) and share news. Just keep a 4 for 1 rule in mind. Twitter users want information, not sales. Share useful, on-topic information 4 times for every 1 self-serving or self-promoting post. Engage. Connect. Share. Listen.

Early Bird Gets the Worm

Membership Renewal

If you have not had a chance to renew yet, there is still time! You have until December 31 to renew without a penalty cost, and to make sure that your membership information doesn’t lapse.

January 10 Meeting – Getting your playbook in order helps win the game!

Without a solid public relations plan, you reduce your chances of scoring that big win for your employer or client. Even the smallest project or event will benefit from a well-developed plan. In fact, planning methodology can help with all areas of your professional and personal development. Karen Ryan, APR, CPRC will share tips to make the planning easier and possibly increase your chances of bringing home the gold! The LCEC team has won more than 100 Public Relations Awards utilizing the plan. But it isn’t just about winning awards. The entire LCEC organization utilizes a Public Relations planning template for every major project it undertakes. Project managers are required to present the plan before moving forward to the implementation phase of the project. As we begin a new year, many businesses are forging ahead with business goals for their organizations – planning for ways to hit sales projections and high conversion rates from leads to clients. Ideally, these businesses have a plan in place to reach revenue goals and benchmarks to evaluate their success; key staff development, new product or service launches, etc. Smart business owners would not leave their bottom line up to chance with no planning or strategy to work from. So, surely they would also have a plan in place for the marketing efforts that should be driving traffic to their door? Right?

Unfortunately, this is not always the case. Lack of communications planning is a common mistake made by many, well-seasoned business leaders. Strategic planning for marketing, advertising and public relations is not a priority for many companies and lies outside their area of expertise. Even more concerning, the budgets allocated for these marketing programs fall in the “if we have any money left over” category.

As public relations practitioners, it is our responsibility to educate clients on the value and importance of strategic planning in all areas of business, especially marketing, advertising and public relations. Here are some compelling reasons business professionals should develop an integrated strategic plan and budget with the help of a public relations professional:

· When you have a plan, you develop tactics that fit within your company’s business goals and brand. Everyone in the company is aware of the company’s messaging and positioning, allowing them ALL to act as brand managers.

· Life is easier when you know what is coming. Following a marketing plan helps prevent the “what are we going to do this month?” syndrome that causes unneeded stress on an organization and its employees. Things can move forward quickly and efficiently, consistently keeping your company name in the marketplace.

· It saves you money! Developing an annual marketing plan and budget creates internal efficiencies that save the company money. This process also allows you to negotiate contracts with media on annual schedules, which reduces advertising costs, target publicity efforts around new products/services and plan out printing and production projects to be more cost-effective in the long-run.

As public relations professionals, we counsel our clients on the best use of their marketing resources. This needs to include the development of a strategic plan, each year, to help them (and us) continue to be successful in the marketplace.

President's Word: New Year's Challenge

December is a time to reflect on where we have been as a Chapter and begin charting FPRA’s journey into the New Year. In 2011, our chapter enjoyed wonderful programs and a few notable milestones – like being named Chapter of the Year and offering dynamic programming. In 2012, we will continue a winning tradition through great programs, networking and by offering opportunities to really get involved.

My New Year’s challenge to you all is to start setting those goals and make this month a December to remember! As we all reflect on our personal and professional accomplishments for the year, perhaps you’ll consider making the most of those accomplishments by entering a program in the Image Awards. Remember, the Chapter is here to help with two great programs in January focused on successful PR Planning.

As you continue to set those pesky New Year’s Resolutions, perhaps you will consider a resolution to: pursue your APR and participate in our chapter’s next preparation course, which will take place in on January 19 or volunteer on a committee.

President's Word: Giving Thanks

November is a time to give thanks. It is a time to focus on building and celebrating relationships. Something that FPRA strives to do year round. Though, as the holiday inches nearer we are able to unplug from the monotony of working life for one day (or maybe two) and relax with family and friends. So this month I will deviate from the traditional “president’s word’’ and take the opportunity to share what I am thankful for:

FPRA Friends: As an all-volunteer organization, this chapter wouldn’t exist without its dedicated and passionate volunteers. And as individual’s we are fortunate to be surrounded by a supportive network of FPRA friends.

Education: The opportunities to expand my educational frontier through FPRA and other life endeavors.

Family Togetherness: Someone has to do the cooking, because I burn almost everything!

We’ve had an excellent start to the FPRA year and as you’ll see by this edition of the newsletter there’s a lot to report. So I keep it brief and simply say – I hope that you all have an opportunity to give thanks, relax and watch a little football!

Because of this, the Southwest Chapter of FPRA has a limited number of membership scholarship opportunities available. FPRA Treasures its Members!
This holiday season share the gift of FPRA! Help recruit a new FPRA member and you and that person will be entered into a drawing to receive a new Ipad ($500 value), a $200 Visa gift card or $300 of FPRA Professional Development bucks.

Have the applicant place your name on their application and the Chapter will submit the information to state upon approval of the application and turn it in to Membership Chair, Jessica Clark.

News from State
Each Quarter Chapter President’s and President-Elects travel to the FPRA State Board to meet with the Executive Committee to discuss FPRA business, events, programs and its future. The first meeting was held on October 21-22 and resulted in several changes for the upcoming year.

• State has revamped its newsletter to make in more user friendly and it will be issued monthly.
• It was announced that the 2013 Annual State Conference will be held in Tampa and will mark the 75th anniversary of FPRA be held in Tampa.
• The State Board Voted to increase membership dues next year. Professional - $175, Allied - $175, Multi-Institutional - $165 (first member of a company is $175, additional members are $165), Associate - $70 (membership good for one year only, intended for members who are temporarily unemployed), Retired Professional - $20, Student - $30
• In an effort to raise funds for FREF State will launch its "Every Member Campaign" in February and is asking every member to contribute. The campaign will run until May 1. The recognition for donors will become part of the President's Reception at conference and will be included in the cost of conference registration. There won't be any additional charge for donors or non-donors to this event. As a result, FPRA will not be hosting the auction at this year’s conference.

Pros Sharpen Their Skills at PRU

"Don't make me do it. Don't make me!" urged WINK News Anchor Lois Thome. "Don't make me open your press release as an attachment." Thome was the first in a list of distinguished speakers that presented to about 50 PR pros at PR University earlier this month.

Thome kicked off the day with a presentation on "Bad News Releases." She shared tips including:

Send your release directly to the correct editor
Get to know a reporter in your field
Be persistent not a pest

Thome was followed by Michelle Bono, APR, CPRC, who outlined some of her award winning strategies for public relations planning. Bono demonstrated how "Big Ideas" can get attention and convey a message. One example was the flash mob her team used to raise awareness about a street project.

The holiday season is here and soon we will say good-bye to 2011 and step into a new year full of promise and possibility. This is a great time to recalibrate your settings and figure out what it is you want to accomplish in 2012. People start mentioning New Year’s resolutions this time of year, but I want to challenge you to go further. After all, you are PR professionals and the key to your “promise and possibility,” may be as easy as R-P-I-E.

PR plans have helped professionals navigate their work for ages. The research, planning, implementation and evaluation process (RPIE) is a systematic way to strategize and execute goals for your company and/or clients. This year, take your work home with you! Write a PR plan for yourself. We all have goals and RPIE is your chance to make them a reality. Where do you want to go in 2012? Do you want to take on a new job, a new event or even the APR certification? Here are some questions to get you thinking about achieving your professional and personal goals:

• Who am I (personally and professionally)?
• Where do I want to go?
• What do I want to learn/accomplish?
• How do I want to get there?
• Who can help me on my journey?

Take the time to write your plan. Identify goals, target audiences, objectives and even a timeline and budget. As you work through the process you will see RPIE for what it really is - a multi-purpose tool and something you can utilize to achieve that laundry list of goals you keep for yourself. Get back to your PR roots and use RPIE to help guide your path in 2012. When I see you next year at this time, what will you boast as an accomplishment?

APR Note: For those of you putting “get my APR” on your goals lists – your knowledge, skill and understanding of the RPIE model counts for about 30 percent of the questions on the written exam. Remember, practice makes perfect!

Debuting last month, this is the Social Media Corner. I hope you enjoyed the Google+ review. This month we're going to discuss the etiquette of Facebook and some best practices.

Etiquette is important on and offline. As a result, Alex Fernandez, social media strategist at our office, developed a few key points (a dos and don’ts list) to help you manage the content for your businesses Facebook Page. While many of us (via our personal Facebook profiles) are representatives of the brands we work for, proper social etiquette is a must, even when we’re off the clock.

DO NOT: Constantly self-promote.

DO: Provide a variety of different types of content, balanced with some promotional elements. We are using the social space to build relationships not be sales-y so use a 4:1 ratio. That means for every four interesting, useful, creative posts you make, you can post one promotional or sales driven post.

DO NOT: Invite me to everything.

DO: Be wary of over-inviting people to your events, meetings, groups, etc. All of these actions result in a notification message being sent to other Facebook users. It’s important to keep the 4:1 ratio when inviting your fans.

DO NOT: Post about every part of your day. TMI!

DO: Post useful, engaging content. This may seem like common sense, but we’ve all seen posts about someone that is bored, going out to the store, etc. While this probably won’t drive people away, how does it help build relationships? It’s business. Don’t forget.

DO NOT: Exhibit unrestrained braggadocio.

DO: Plug yourself, every now and then, using discretion. Since it doesn’t actually help your users, it’s important to keep your kudos in check. This is probably a good place to note that liking your own status isn’t fooling anybody.

Other suggestions would include personal updates on your Farmville status, inappropriate language or images, etc. Just remember, this is the digital face of your brand (aside from your website) and proceed with caution.

SWFL Starts Thinking About Image

Public relations professionals work year round manage brands, build communication campaigns, and enhance images year round. This month, the Southwest Florida Chapter challenges each member to reflect on your year of public relations successes and really begin thinking about projects you may be able to enter in the 2012 Image Awards Competition.

Maybe you launched a promotional campaign, held a special event, conducted an internal communication campaign, etc.

Image Awards offer an array of opportunities to showcase your hard work and provides the opportunity to showcase smaller projects like posters or calendars, news release, written speech, specialty item, electronic communications (including blogs, e-mail, newsletters and surveys), brochure, website or even a presentation. Since most of these projects are smaller in scope, entering your work in the “tools of the trade” categories B and C may be less overwhelming, especially to someone who has never submitted anything. This may end up being your formula for success!

There is even an opportunity for students to enter! Students can enter a written speech, news release, position paper or computer-generated communication like a website or PowerPoint. You can also enter any other category in the other professional divisions if you have something that doesn’t fit in the student division.

So put those thinking caps on and start thinking Image!

Presidents Word: Invest in yourself

In simple economics, we are taught to invest in things that appreciate in value. This is naturally true with cars and homes, but how often do we apply these principals to ourselves and our careers? If the goal is to increase your own personal value, then it should stand to reason that you should invest in opportunities that will help you attain your personal and professional goals.

Our Chapter Board is working hard to deliver value in 2011-2012 by bringing you ways to invest in your own futures through diverse programming; fulfilling networking events; and volunteer opportunities.

On Friday, November 4, you will have an amazing opportunity to invest in your future at PR University. The strategies, trends, tips and tactics you’ll learn in our Chapter’s largest professional seminar will be sure to make an impact on how you approach public relations. The intensive, full-day seminar provides valuable advice and a great opportunity to network. The speakers – truly some of the best in the business– will give you knowledge that you can use the moment you step out of the seminar actually begin achieving your goals.

Credentialing Corner: Going for your APR the Practical Way

As with most challenging or time consuming things in life, we tend to think there's time to do it later or there will be a better time. When it comes to studying for your APR, that may not be true.

As a business owner, I completely understand having a busy schedule, but if you're thinking about getting your APR, don't let obstacles become excuses. Really evaluate if this is something that you want and could benefit your career (which I guarantee you it will!), then make the plans to do it!

Here are a few tips from my experience:

Plan ahead. In PR, we're used to planning and this should be no exception. Consider annual events, family and work commitments, etc. to determine when the best time will be for you.
Set aside the time - every week. It's important to take this one bite at a time. You can't swallow all the information at once and if you get behind, you'll end up with a stomach ache.
Attend the study sessions. We're fortunate that our chapter hosts study sessions to help you learn the material, prepare for your Readiness Review and ultimately the exam. Use this!
Review your notes and do case studies. While knowing the definitions is important, the name of the game is application. Apply what you're learning to work, to previous projects and do practice case studies.
Don't stress! It's easier said than done, but trust yourself and your abilities. Anyone can become an APR if they study and really apply the lessons to their everyday practices.

I knew going into it that I would learn more about our profession and how to do my job, but I learned so much more. I have a new perspective and know I am serving my clients better. It was worth the commitment and I hope you will take the leap too!

Social Media Corner: Google+

Introducing a new component to the FPRA SWFL newsletter - social media! Here we'll share news, trends and tools to use this form of communication. The world of communications is changing every day. There are more ways to share a message and more channels to monitor for our companies or our clients. With the recent launch of Google+, add more one to your list.

Now the third largest social network, Google+ is the newest player in the social media game. Originally launched in beta/test phase, they opened it up to the public in September. Now users can give people, business, websites and more a "+1" or in Facebook terms, a "like".

For those of you using social media, or at least monitoring it, for your company or your clients, here's another one to add to the list. It's yet another reputation management platform where customers can express if they like your company or not. Additionally, as a social channel, Google+ offers another way to engage with your target audience, but you have to earn it. Even if someone is using Google+ and connected with you, they have to select to see your news and material. This is going to require businesses to put really valuable material up - not just promotions, in other words really using social media for communications and relationship building rather than sales.

Right now, businesses can't create profiles - much like how Facebook started - but that option is expected a little later in the year. Stay tuned as we'll keep you posted on this and other social media news in future editions.

Time To Be Renewed!

It is hard to believe that it is the time of year where fall is upon it, and our “season” is about to kick into high gear. As PR Professionals, we all have so many things to remember with all the events and holidays right around the corner. But there is one other thing you don’t want to forget…to renew your FPRA membership! All Members should have received your renewal notice in the mail by now, and if not, it should be on its way. But did you know that there is another way to renew where you don’t have to wait for your form in the mail? You can actually handle it all online by visiting http://www.fpra.org/. Social Media For the Short-Staffed
Kerri Goldsmith of HBK Sorce Financial presented some tips and pointers for people to get the most bang for their social media efforts.
Social media is particularly important for nonprofits because internet users, especially social networkers, are more likely to be active in volunteer associations.

But how can you do it right? Goldsmith offers four basic suggestions for starting your social media efforts:

Define your goals (awareness? donations? volunteers? events?)
Identify your resources (yourself? volunteers? an agency? your audience/supporters?)
Know your target audience (and in particular, what social media platform are they most likely to gravitate to?)
Start small and grow into social media

Once you've analyzed your situation, she offers more suggestions:

Don't be overwhelmed by your options. Pick the medium you think will be most effective for your message and audience, and start there.
Use time-saving tools such as Hootsuite, Tweetdeck, or Seesmic. You can also utilize these tools on your smartphone.
Plan ahead! Schedule your messages in advance.
On Twitter, keep messages to under 120 characters so you can be easily retweeted. Make sure to shorten URLs, and utilize hashtag/keywords to make it searchable
On Facebook, take advantage of static content, post longer messages, and use photos or video whenever possible.
Remember, communication works two ways. Reply, comment, and thank your audience.
Build "lists" of people to follow... media, constituents, organizations with complimentary missions, so you can more easily communicate with them.
Measure your results by tracking links, clickthroughs, retweets, mentions, etc.

PR Pro Bono Day - Session 1

Events: How to Bring in the Cash
Ginny Cooper of The Cooper Group opened PR Pro Bono Day with a presentation on her area of expertise: Events.
In Lee County, there are more than 2,100 nonprofit 501(c)3 organizations, with another 1,800+ operating in Collier County. Clearly, there is a lot of competition for donor dollars.
A quick look at the Gulfshore Life charity register reveals 326 major fundraisers in our area, most of which are held during the high season months, all battling for the attention of donors.
How to compete?
Be daring, be different, and be diligent.

Be Daring: Don't be afraid to strike out and do something our area has never seen.

The Red Cross "Star Struck" dance competition was the first of its kind in our area, and has been duplicated many times. Cooper helped the Red Cross create "star" themed silent auction packages, and the creative merchandising of the packages brought in 30% more profit.
The PACE Grand Dames Tea was another new, one-of-a-kind event. Cooper suggests that the event itself shouldn't be the only fundraiser, and that you should continue the opportunities for giving beyond the event.
Another PACE event, Love That Dress, allows people to create ownership in the event by donating dresses and by hosting dress donation parties.

Be Different: Make your event stand out.

Take a different approach. Even though more than 10% of our local fundraisers listed in the Charity Register are Golf Tournaments, it's possible to make even a common-sounding event stand out. Several years ago, the Lifetime Family Center started a Golf Marathon, which allowed people to play as many holes as possible and take pledges from supporters to raise funds.
Use a different theme. The golf marathon was during the peak of the series "Survivor," and the tournament was branded using a "Survivor" theme, with mini events and challenges, survival-themed gifts, and even a million-dollar hole in one competition.
Find a way to stand out. Eleven years ago, when VHS tapes were the medium of choice, the Edison Ford Gala was the talk of the town by issuing their invitations on videotape.

Be Diligent: Success is in the details.

Never assign yourself an event duty. Instead, delegate responsibilities, and allow yourself to check in to make sure things are being accomplished the way you want.
Plan everything way in advance. Prepare your timeline by starting with the event date and working backwards. For example, know when you need the number of guests for the caterer, and set your RSVP date at least a full week before that. Make sure guests receive their invitations at least 3-4 weeks before the RSVP date. Prepare the rest of your timeline accordingly.
Know that there will be problems. (and just hope that they're ones that your guests won't notice)
Never run out of food and drink (and chances are, your guests won't notice the problems if they're still well-fed).

Cooper also offered a few more tips to help your event run smoothly-- and also to get as much value as possible from your event:
Sponsorships: Sponsors get involved for one of three reasons- either for cause marketing, for image building, or because they're devoted to their communities.
The sponsors have three primary expectations. First, they expect to get a 3-to-1 return on their investment. Second they don't require (and often don't want) tickets to the event. Third, they do want proof of performance after the event, in the form of testimonials, photos, screenshots, copies of ads and articles, and more.
Caterers: When you're shopping for a caterer, make sure you're comparing apples to apples. In other words, present them with a menu and a budget, and see what they're able to do with it. If everyone is presenting you with different menus and different prices, you'll never truly know which is the best value.
Event Management: Cooper reminds to not forget permits and codes when preparing your event-- especially if you're in a nontraditional location. You don't want the fire marshal shutting down your event. In addition, she cautions to write everything down, because you have a lot to remember, not only for this year's event but for future events. Also, remember to budget carefully and always allow a 10% contingency.

President's Word: A New Year, Beyond Words

As we embark on another FPRA year we welcome a new slate of board members and leadership chairs to the Southwest Florida Chapter of FPRA and strive to go Beyond Words.

We are living in a time where the economic challenges are changing business landscapes and organizations are doing more with less. The communications frontier is in a state of flux as the culture, strategies, and tactics of public relations begin to change on the rise of the social media wave. With the continued diversification of tools and technologies, some argue that “specialists’’ are fading. All the while, we must stay on the cutting edge of emerging trends while staying true to the traditions and core principles that make public relations what it's all about: relationships, planning and strategy, ethics and beyond.

In 2011-2012, SWFL FPRA will go Beyond Words to continue to build strong community ties; create more opportunities for member engagement; and offer a diverse array of programming rooted in public relations core principals and emerging trends.

I’d like to thank each of these volunteers for making a commitment to FPRA; it is their talent and dedication that will make 2011-12 a successful year for our chapter. A big thanks also goes out to Immediate Past President, Pam Nulman, APR, CPRC and her 2010-2011 board for all of their hard work. We have big shoes to fill, but I know this year’s board is up to the challenge!

Angie Strait has earned the designation of Accredited in Public Relations (APR). Strait is a public affairs coordinator for the Lee County Port Authority.

To earn accreditation, candidates must pass an oral presentation and a rigorous written examination administered by the Universal Accreditation Board (UAB), which is an alliance of eight national and statewide professional associations dedicated to furthering the field of public relations and the development of public relations professionals. FPRA is a member of the UAB.

Strait is the fourth member of the FPRA Southwest Florida Chapter to earn the APR credential this year. She joins more than 4,300 active public relations professionals worldwide who represent an elite group of highly skilled professionals committed to practicing with exemplary ethical standards.

A Cape Coral resident, Strait is a member of the Lee County Port Authority’s public affairs team. Her department is responsible for the promotion of Southwest Florida International Airport and Page Field, through media relations and public information/marketing communications, special events, community relations programs, corporate citizenship and employee communications.

Prior to joining the Port Authority, Angie was the watermelon breeding research assistant for Sakata Seed America, Inc., where she was responsible for assisting the watermelon plant breeder with all aspects of their global watermelon research program including product marketing and branding. She has also served as the Michigan State University Extension – Jackson County 4-H Youth Agent and interned at the White House in the President’s photography office.

There is a new membership category available for recent college graduates! To help encourage our rising stars to invest in their futures as public relations professionals, the state organization has created the Student-to-Professional Membership.
The Student-to-Professional Membership is available to any person professionally qualified by education, who has graduated within the past 12 months from an accredited college or university with a degree in a related field of public relations/communications, devotes at least 50 percent or more of his/her working time to public relations activities, and pays his/her own dues shall be eligible for the student-to-professional membership.

This membership is available for a maximum of one year from date of joining. Membership applications are available on fpraswfl.org.

Southwest Florida Named FPRA Chapter of the Year

At the FPRA Annual Conference on August 8th, the Southwest Florida Chapter was recognized as the 2011 FPRA Chapter of the Year by State Association President Jennifer Moss, APR, CPRC.

With Katy Perry’s “Firework” blasting through the ballroom and bringing everyone to their feet, twenty-five chapter members worked their way to the stage to accept the award along with Chapter President Pamela Nulman, APR, CPRC.

State Association President Jennifer Moss, APR, CPRC cited the following accomplishments of the Southwest Florida Chapter during the past year:

The Chapter worked as a team to establish a roadmap and set ambitious goals to maximize value for their members including updated Chapter policies, procedures and job descriptions; detailed budgets and financial reporting and an in-depth strategic plan.
Came together to cover the vacant position of Programs Chair as a team, pitching in to develop program ideas, recruit speakers and deliver 12 months of innovative programming with increased meeting attendance - including the full day PR University and the Annual Media Breakfast.
Stressed member recognition throughout the year at meetings, in the chapter newsletter and in social media through introduction of board members, recognition of those going above and beyond their duties within the chapter and recognition of those promoting PR in the community. Award programs honoring image winners, newly accredited members, chapter award winners, and special recognition of dedicated long-term board members were also a central focus.
Pulled together to revamp their Image event at the last minute moving it from an evening to a luncheon program that would still be special and memorable for the members receiving rewards - resulting in a strong turnout of members, bosses and clients.
Focused on student members, involved senior members and provided opportunities for members at all levels to get involved on committees and participate in networking and community service programs.
And, they produced and distributed the fabulous Southwest Florida Chapter’s 25th Anniversary book “Rise and Shine”. A project that utilized the skills and resources of 40 contributing members to complete. Most definitely exceeding expectations!
Finally, the chapter consistently emphasized the “We” - relying on the teamwork of its board and its members to overcome challenges, get creative and produce amazing results.

The Chapter was also recognized for its efforts in Student Development the past year. The Chapter set aggressive goals to increase support to developing future PR professionals, in particular working with the student FPRA Chapter at Florida Gulf Coast University. The Chapter also coordinated the Student Track at the Annual Conference and rein-stated the Chapter Internship Program this past summer.

As I write my final President’s Word and look back on my year as president of the Southwest Florida Chapter of the Florida Public Relations Association I can’t help but get a little emotional when I think about everything our chapter has accomplished in the past 12 months. I can’t thank our leadership team enough for its dedication and passion, as well as our membership as a whole which continues to remain strong and dedicated to giving back to our community and strengthening our profession.

As this chapter in my life closes and another begins, I thought I’d share my top 10 favorite FPRA memories and “takeaways” as president.

1. During our leadership team kick-off retreat trying to guess which baby pictures belonged to our new leadership team members. It’s amazing how many of us were clearly destined to be “PR stars” even in our earliest years. Takeaway: Success starts with a strong foundation.

2. Attending our first state association board meeting and getting to share the excitement and stress of beginning our year with other presidents from around the state. We found out we all shared an equal amount of fear, but were there for each other. Takeaway: A strong, supportive network is critical to success.

3. We held our first board meetings ever via conference call this year. Takeaway: Technology can be our friend and make our lives easier.

4. While in the hospital over the Christmas holiday many of my “FPRA” friends stopped in to visit, sent flowers and one even brought me a Christmas outfit to wear – Santa socks! Takeaway: You can never have enough friends and they will always exceed your expectations and surprise you.

5. Incoming President-Elect Carla Ulakovic stepped up to the plate and coordinated the January mixer and led the February business meeting when I was ill and couldn’t attend the events. Takeaway: Always have a wing man (or woman in this case). Trust them - they have your back.

6. Our annual community PR Pro Bono Day is still one of my favorite FPRA events and our special projects team did a phenomenal job on this year’s event, with some 75 community leaders in attendance. Takeaway: We have a responsibility to always give back.

7. If you want things to run by the book, involve Kate Gooderham, APR, CPRC; if you want them to run on time (or even finish early) seek out Jennifer Moss, APR, CPRC; and if you want to put on an elegant event with just a dash of spice, call Ginny Cooper. Takeway: Know where talent lies and embrace it.

8. Compiling the Chapter notebook to document our Chapter’s history this past year was a painful and time consuming process, but when completed I couldn’t help but be proud of everything we accomplished. Takeaway: Measurement always matters! Just do it!

9. Watching my husband put together “thank you” and “fundraising” baskets, chauffeuring me to meetings when I couldn’t drive, attending FPRA events and repeatedly loading my car with FPRA meeting materials. Takeaway: Never forget your family is in this with you. Take care of them and thank them often for their support.

10. Being recognized as “Chapter of the Year” at this year’s state conference was definitely a highlight of my career. Thanks to every one of our FPRA members for making it happen. Takeaway: FPRA rocks!

Thank you for allowing me to serve as your president and for a terrific FPRA year. I have had the time of my life.

Each year the Southwest Florida Chapter of the Florida Public Relations Association honors a member who exemplifies the highest standards of the public relations profession in Southwest Florida. The recipients of this award are nominated by the chapter membership in recognition of their commitment and support of FPRA and the Southwest Florida chapter, our local community and public relations profession as a whole.

The honoree of this prestigious award displays a professional attitude and exercises professional conduct in all of his or her activities. They are supportive of fellow public relations professionals and constantly strive to raise the professional standing of FPRA and our industry in all their endeavors.

Kate Gooderham, APR, CPRC is this year’s PR Professional of the year, marking the second time in the 25-year history of the chapter that this honor has been bestowed on the same member twice.

A member of the Southwest Florida Chapter since 1997, Kate has served in numerous positions on the board of directors and if you’ve had the pleasure of serving on the board with her there’s one thing you learn very quickly – she’s an Expert in keeping order (that’s Roberts Rules of Order) and making sure we do everything by the book as a chapter.

The other thing you recognize right off the bat about Kate is that in a world where many people are looking for quick answers and quick fixes, she is truly a thinker, a problem solver and someone you can depend on to give a well thought out response to any question or issue. And, she’s never afraid to speak her mind – even when it comes to tough issues.

Kate has served at the state board level and she served as our chapter president in 2001 – 2002. Today, she continues to serve our chapter as Vice President of Professional Development.

She is a passionate advocate of continuous learning for our membership and is dedicated to helping our emerging PR professionals in launching their careers. She’s also game to try anything fun and has been a frequent star in chapter videos over the years.

Kate is president of Gooderham & Associates, Inc., a Fort Myers, Florida consulting firm established in 1986. The firm specializes in issues management, public information campaigns, grassroots organizing, governmental lobbying and monitoring, coastal permitting and strategic planning.

Believing it’s never too late to learn something new and continue to grow in your profession, Kate recently became president of Southwest Florida Events Inc., a Florida not-for-profit corporation dedicated to combining fun, fitness and support for local charities through multisport events. The organization’s first event, a sprint triathlon, will be held September 17 & 18 on Captiva Island.

Each year the Southwest Florida Chapter selects one member who exemplifies the FPRA spirit and gives generously of his or her time to make our chapter successful. Characteristics of this individual often include:

Actively participating in chapter programs and projects
Supporting the chapter to help raise the level of professionalism in our community
Displaying a professional attitude and standard of conduct at all times
And, is always supportive of fellow public relations professionals.

It’s always difficult to select our chapter member of the year as so many members contribute above and beyond on a regular basis to make our chapter successful. This year’s recipient is a little different though in that much of her work is actually with another FPRA chapter – our student chapter at Florida Gulf Coast University.

Dedicated to supporting our next generation of PR professionals, Phyllis Ershowsky, APR, CPRC has been our chapter’s education chair for the past two years, serving as our professional chapter’s liaison to the student FPRA chapter and now, she also has the honor of being named our Chapter Member of the Year.

During her time as education chair, Phyllis has:

Helped triple the number of student members
Attended virtually every student event
Helped the students gain university funding for next year
Helped promote student activities throughout the year in the professional chapter newsletter
Purchased FPRA blue honor cords for graduating PR seniors
Coordinated student scholarships for this year’s state conference
Conducted student focus groups to gather information for the state conference student track
Serves on the team coordinating the student track at state conference
And lastly, this summer she brought back the chapter’s internship program.

Outside of FPRA, Phyllis is the owner of PKECreative, Inc., as well as an adjunct professor at FGCU. She also serves on the board of directors for the Bonita Springs Chamber of Commerce and serves as vice chair for AMI Kids. In her spare time she runs marathons and enjoys sharing her personal and professional experiences on her blog.

The Southwest Florida Chapter of the Florida Public Relations Association (FPRA) is pleased to announce that two members recently earned professional public relations accreditation. Krista Cartee of Priority Marketing of Southwest Florida Inc., and Samantha Scott of Pushing The Envelope Inc. have both received the designation of Accredited in Public Relations (APR).

Cartee is the account services manager at Priority Marketing, where she has worked since 2006. Scott is the owner of Pushing the Envelope, an award-winning mixed marketing communications firm servicing clients locally and around the country. August Meeting Recap: FPRA Explores Writing for the Media

Some things never change. However, other things like the AP Stylebook always do. At the chapter’s August luncheon meeting, Kara Winton, APR, CPRC, shared some recent updates and common mistakes when it comes to writing in AP style.

Why is it important to use the AP style guidelines? The Associated Press Stylebook is considered “the journalist’s bible”. Writing for the journalistic world is different than standard marketing or advertising communications. You’ll enhance your credibility and let journalists know you draft serious copy. Writing in the format they prefer also increases the likelihood your news release will be published as closely as possible to the version you submitted.

New in 2011, in addition to expanded food and social media sections are recommendations for spelling, punctuation and capitalization of the following terms:

email
cellphone/smartphone
bed-and-breakfast
911 call
ecosystem/ecotourism
iPad

During an interactive session, Winton invited attendees to identify some of the most common AP style mistakes in some sample news releases. Here are just a few of them that should be avoided:

Abbreviation of the states is NOT in the post office format. It should be Fla. Instead of FL.
Telephone numbers should be hyphenated 239-123-4567 rather than with parentheses.
Do not capitalize the “southwest” when using the location southwest Florida.
Website in AP style, is all one word, not two.
The numbers one through nine are spelled out; numbers 10 and above are used as numerals.
Use a.m. and p.m.; not AM/PM or am/pm.

Advice, recommendations and news you can use from the chapter’s seasoned professionals

By now many of us have learned what these letters mean in text messages, Facebook updates and Twitter posts. But is showing how hip we are to the younger set doing us PR professionals a disservice, especially since we have the AP Stylebook so ingrained in our brains that even our handwritten holiday and birthday cards follow proper AP style? I realize LOL and ROFL have been added to the Stylebook, but I decided to find out what some of our reporter and editor friends would think if we sent them emails or texts with these slang terms.

The News-Press’s Downtown Diva (Stephanie Davis) says she draws the line on social event notifications by text when the sender finds it too exhausting to spell out their words.

“Personally, I think we can learn a lot from the younger generation – I’m just not sure that knowing how not to spell out actual words is a valuable social skill,” she wrote in a recent column.

Cindy Pierce, editor of Naples Florida Weekly, says while she doesn’t text a lot and hasn’t noticed a lot of PR professionals emailing her with slang terms, she would be a little put off if it did occur.

“I just want them to be straightforward and tell me what I need to know,” she said.

“It seems like the nature of Facebook is to let those terms slide, but if you are trying to make a professional impression, I would say it’s a good idea not to use those shortcuts,” added Phil Borchmann, editor of Gulfshore Business Magazine.

The News-Press reporter Francesca Donlan had an interesting example to share.

“This is a TRUE actual email sent to me: Hi Francesca, Do you think it's OK/PC to use "WTF" in a press release about a Teen Camp that is going to teach texting/email etiquette to kids? I polled all the reporters around me and we sent back a resounding NOOOOOOOOO. I think it's perfectly fine to do it in friendly emailing and appropriate considering the context but generally, I would say no. It just says teenager to me!”

“Slang and texting shorthand destroys the credibility of the message,” said Darrel Lieze-Adams, executive news director and manager of promotions for Waterman Broadcasting. “We get emails from viewers daily upset over misspellings and mistakes in our grammar. Having a complete command of the English language does not include using cute, trendy jive. Just because people say "ain't" doesn't mean it should become an acceptable part of our vernacular!”

In today’s fast-paced electronic world, let’s remember to present our professional selves and our writing first in all our communications to ensure we aren’t jeopardizing a mutually beneficial relationship down the road.

My life as an Intern…Final Chapter

As summer comes to an end, so does my wonderful internship with FPRA.

After leaving the Bonita Springs Area Chamber of Commerce, I worked with Margie Byers, from the Lee County Library System and their Annual Reading Festival. Working with Margie and the library was a great and unexpected experience. I say unexpected mainly because every day you learn something new, and I had no idea of the extent of the services that the library offered. I am extremely grateful to have worked with Margie and the wonderful staff. I have learned a lot about the reading festival and 20,000 plus attendees that they were expecting this year. Even though I was only an intern for two weeks, I helped with media contacts, a QR Code reading festival hunt plus, I found my opinions were highly valued. I was also able to join Margie at a presentation for the Fort Myers Kwanis Club, and must say they are extremely nice and very giving.

After completing my internship with the Lee County Library System, I immediately started with Kate and Ken Gooderham, with Gooderham & Associates, Inc. based in Fort Myers. While I was there I was able to help with the Inaugural Galloway Captiva Triathlon working on crisis management planning and social media tactics. This was also a great experience for myself, and the Gooderhams’, because I happened to be their first ever intern. I was able to participate in multiple activities including observing meetings with county officials, meetings with journalists, and even produced and edited my first ever video.

Internships are the best and closest thing to the real job, and sometimes they lead to being offered a paid position. I cannot stress enough how important it is to have an internship. An internship gives you the chance to figure out what you love to do and run with it. I would love to thank the Southwest Florida Chapter of the Florida Public Relations Association, Phyllis Ershowsky, APR, CPRC, Kate Gooderham, APR, CPRC, Pam Nulman, APR, CPRC, Tiffany Esposito, Margie Byers, APR, and everyone else who supported me during this internship. I will be forever grateful.
